Once logged in as a Director, you will arrive on the My events page. From here, you can create and manage events.
LiveHeats offers three ways to create events. Click on the relevant method to view the instructions for each:
- Start from scratch: allows you to build your event details and add or create divisions from scratch - best for a start of a new season or year (supports using LiveHeats for accepting athlete registrations)
- Copy from existing event: allows you to clone an existing event (everything except for entries), so you don't have to reset all the same divisions, prices, registration rules, and templates each time - best if you run repeated events through the season (supports using LiveHeats for accepting athlete registrations)
- Create via import: if you use another registration system and have a .csv or .xsl file containing the entries, we now allow you to use this file to build an event and populate divisions
Start by scratch
Note: Use this method for setting up an event for the first time, at the start of a new season, or for a standalone event.
- Once in the Events area, click the Create event button:
- Click Start from scratch:
- Enter the Event name, Start date, End date, and if the event belongs to a Series for the purposes of membership or rankings, go ahead and add it (see here for creating a series), then click Continue:
- Create or select Divisions (e.g. Junior Male):
- Click Create you'll land on the Event dashboard, and can begin to manage your event. The status will default to Entry open, and you can proceed to the next step of activating paid registrations, accepting athlete registrations, or importing / adding athletes.
Copy from existing event
Note: This method allows you to create a clone of an existing event, which brings with it everything except for entries - event settings, division settings and round settings.
- Once in the Events area, click the Create event button:
- Click Copy from existing event:
- Select the event you'd like to copy. The list will include all events in your organisation's history, so you can use the search to find the relevant event:
- Edit the details as required, which will be copied from the existing event, and click Continue
- Edit the divisions as required, which will be copied from the existing event and click Continue
- Click Create you'll land on the Event dashboard, and can begin to manage your event. The status will default to Entry open, and you can review the event settings to begin accepting athlete registrations, or importing / adding athletes.
Create via import
Note: Use this method if you have a .csv or .xsl file from an external registration system that contains your event's divisions and athletes. Note, if you don't yet have the complete entries file, you should use one of the other methods above, and import the entries via the event dashboard later.
- Once in the Events area, click the Create event button:
- Click Create via import:
- Enter the Event name, Start date, End date, and if the event belongs to a Series for the purposes of membership or rankings, go ahead and add it (see here for creating a series), then click Continue
- Select, or drag and drop the file containing entries and divisions from your device:
- Select the Header row, that contains the field titles:
- Review and set the mappings of fields to the LiveHeats system fields:
- Review data and fix any errors. If you face errors, click Exit on the top right, fix the file, and return to the import wizard. If happy, click Confirm:
- Click Create and wait until LiveHeats populates your event with divisions and entries:
- This will create your event will all divisions and entries. You can move into the next step of building draws and schedules.
