Your Event or Membership Terms and Conditions
When accepting paid registration, you have the ability to include a Terms and Conditions document in PDF form. You can export your final Terms and Conditions file to PDF via Word or Google docs, before uploading to LiveHeats.
During the registration process, your athletes (or if under 18, a parent or guardian) can be required to indicate that they have read, understood, and accept your Terms and Conditions.
Note, there is no way for the user to physically sign the PDF and upload it. Instead, you could consider creating a custom field for them to type in their name as a digital signature (set as a free text field + user level).
Needless to say, LiveHeats does not assume responsibility for the contents of, or the consequence of using, any of the methods of recommendations on our website. Before using any of these methods, you should consult with a lawyer licensed in your country.
Common items that you might consider including in your Terms and Conditions document:
- Release of liability
- Permission to use
- What happens if the event is cancelled or postponed
- Require standards of conduct
- Payment provisions and any other terms relevant to your events
Note: your document does not require a field for a name, date, or signature. When participants (or if under 18, their parents) click Pay now, it acts as legal acceptance of having read, understood, and agree to your terms and conditions, so a physical signature is not required.

How to add your terms & conditions document
- For event registration, go to Event settings > Registration, or for membership, go to Series settings > Membership:
- Scroll to the Registration information section. Click Upload Terms and Conditions PDF
- Upload your PDF document from your device
- Once uploaded, click Update event or Save
The T&Cs will now be included as a link on your registration form:
